HYPEROOM Replenishment orders: Buyer's guide

Starting May 2022 (dates may vary from Brand to Brand), OTB's current replenishment platform (WRT) will be enter a phase out period during which our new solution, HYPEROOM Replenishment, will be made available to all current WRT Buyers.

Follow the steps below to learn how to access the new platform and manage a replenishment order.

We suggest cleaning the cache before starting the process.

1. Login
  1. Open https://hyperoom.otb.net/buyer from your browser
  2. Use your e-mail as Username
  3. As Password, use the same one that you were using on WRT (should you have a problem, use the Forgot Password link to reset it)

If you don't have an account, click on Sign up and fill up the form, requesting a replenishment access

2. Create an order
  1. Select Area: Seasonal (1) > Replenishment (2) > the brand (3) necessary only if working with more than one, as in the screenshot below)
  1. Click on Initialize an order

3. Select the order type: Replenishment or Swap and click on Next 

  1. Select the door and CONFIRM

3. Catalogue: new features specific to Replenishment

Catalogue navigaton works for the most part just like for seasonal orders (you can check how to use most functionalities in the article How to check the collection using the Catalogue section) but there are some features unique to replenishment:

New Filters
  1. Never Out Of stock (NOOS) items
  2. Season selection
  3. Already Purchased items

New information on the product card
  1. Season indication
  2. Dedicated icons to indicate whether the product was already purchased in seasonal on in replenishment
  3. Added quantities for product variants

Wish-list shared between orders

On each new order you will find all products that were added to the wish-list on previous orders.

4. Add products to the CART

Quantities can be added to products in different ways:

  1. Clicking on the quick add to cart icon from the Catalogue view
  2. Clicking on Cart from the product page

Once the size grid is opened, Availability shows the maximum selectable quantity for each size.

Once the quantity is added, it will remain reserved for a limited time.frame. If the order is not confirmed within the time range, quantities will be made available for other customers

5. Checkout

It is now time to open the CART and to review the selected products, before the checkout.

Items subject to a discount will show the information on the left.

Once you are satisfied with the cart, click on CONFIRM on the bottom right corner to submit the order for approval to Customer Service.

Order status changes from PENDING to CONFIRMED.

6. What's next: understanding Orders Statuses

A replenishment order can have 5 statuses, depending where it's at in the order process:

  • Pending: draft order
  • Confirmed: submitted for approval to Customer Service (see below the automatic notification e-mail that is sent from HYPEROOM)
  • Approved: approved by Customer Service
  • Rejected: rejected by Customer Service
  • Expired: order either not confirmed by the buyer nor approved by customer service within the allotted time frame.

When an order is reaching the expiration time, a reminder is sent to either the BUYER (if in PENDING status) or to Customer Service (if in CONFIRMED status).

Once the order expires, it cannot be reopened.

7. Manage your orders list from the home page

Filter or sort

  1. Filter your orders by: Status
New order filters - Order type
  1. Order by Date
  2. Order in either alphabetical order or by newest\oldest
  3. Filter by order type

Delete

Should you want to delete an order, you can do that by clicking on the trash bin icon. Only orders in PENDING state can be deleted.

A note can be added clicking on the Note Icon (available also from within the order, on the header: this information will be reported in the final Stealth order)

How to switch from Replenishment to Seasonal orders (for Buyers with both profiles)

If your account have access to both Seasonal and Replenishment orders, HYPEROOM will default to Replenishment.
Click on Switch to Seasonal to get go Seasonal orders (see the buyer's guide for Seasonal for details)

How to export Cart, Wish-list or Catalogue

HYPEROOM replenishment, as well as seasonal, exports data in both Excel and PDF formats for Catalogue, Wish-list and Cart

To execute the Export, locate and click on the Export icon.

An email with two separate links is sent from HYPEROOM to the e-mail of the account requesting the Export.
